The categories of information that we collect and hold include:

·          Child’s Personal information (such as name, address, date of birth)

·          Child’s Characteristics (such as ethnicity and language)

·          Child’s Health information (such as allergies and medical conditions)

·          Child’s Attendance information (such as sessions attended, number of absences and absence reasons)

·          Child’s Accident and incident records

·          Parent details (Name, Email, Phone numbers, address, National Insurance Number)


Legitimate Interests and Lawful Basis of Collecting and Processing Your Data

·          According to the Statutory Framework for the Early Years Foundation Stage, we are required by law to collect and process data regarding your child and yourself. This includes sensitive data, such as health, illness, allergy and medical data regarding your child

·          Your data such as email/phone number is needed as you are the legal guardian of your child and so you can be contacted in an emergency.

·          Your National Insurance number and date of birth is required to apply for 2 year old funding and 30 funded hours for 3 year olds with the local council. You are not obliged to provide this information, but it is a requirement if you wish to apply for the funding mentioned above.

·          Characteristic information such as ethnicity, first language and religion, is asked for according to Ofsted and Department for Education recommendations and for equal opportunity monitoring, however you are not obliged to provide this information.


Why we collect and use this information

We use your child's data:


·          to support learning and development

·          to monitor and report on child progress

·          to provide appropriate pastoral care

·          to assess the quality of our services

·          to comply with the law regarding data sharing

We use your data:

·          to contact you in an emergency

·          to contact you regarding your fees and changes in fees

·          to contact you regarding other issues whilst your child is in our care

·          to contact you with regards to various safeguarding issues, such as contacting you if your child has an unreported absence

·          to contact you if there are changes to your contract

·          to contact you with important nursery information such as closures

Other uses of data requiring your consent

Your data may be used for marketing purposes, ONLY if you have ticked the opt-in boxes on your registration form. If you have not consented to this we will not send you marketing material. Your child's photos may be used on nursery displays, advertising, our website and social media, ONLY if you have given your consent by ticking the relevant opt-in boxes on the registration form.


How we store your information

·          Your completed paper registration forms are stored in secure cabinets in a locked office. Only the Operations Director, Internal Auditor and senior nursery team have access to these files.

·          You phone number will be stored on the nursery emergency mobile if you have given your consent on the registration form.

·          Data regarding your child and yourself is also stored electronically on our nursery management software, Connect Childcare. This is so we can be more efficient in providing an education to your child and monitoring their progress. It also allows us to keep track of your fees and to quickly obtain your contact details in an emergency. Connect childcare have secure servers based in the United Kingdom. How long we store this information for

We are required by law to store your child's data for a reasonable period of time after your child has left. At Kangaroo Pouch we will retain all child records, including registers, medication forms and accident forms for a period of 3 years.  Records of any reportable death, injury, disease or dangerous occurrence are stored for 3 years, which is a legal requirement under The Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995 (RIDDOR) 1995. After this period all data regarding your child will be destroyed and deleted.


Who we share this information with

According to the Statutory Framework for the EYFS, we are required by law to share your information and your child's information with the following:

·          The local authority and its employees

·          Department for Education (DfE)

·          Ofsted or the childminder agency with which they are registered

·          The police

·          Social services

·          Other professionals working with the child

·          Other providers if a child is attending more than one setting.


Apart from those organisations listed above, we do not share your details with any other third parties without your consent.

Your Individual Rights

1. Right to be informed: This privacy policy informs about how we process and store your data.

2. Right of access: You have the right to access copies of the data and supplementary information that we hold regarding you and your child. This can be supplied in paper and electronic formats. For safeguarding purposes please ask the nursery manager in person if you wish to access your data. You can also see electronic records of your data if you sign up to ParentZone software which is the sister software to Connect Childcare.

3. Right to rectification: You can rectify any incomplete or inaccurate data that we hold on you by contacting the nursery manager.

4. Right to erasure: We are required by law to keep your child’s data whilst they are registered with us. We are also required to keep data for a reasonable period of time after a child has left Kangaroo Pouch. Only in certain circumstances can you request data erasure and destruction.

5. Right to restrict processing: You have the right to object to processing of data that is likely to cause harm or distress. You can also withdraw your consent to use your data and your child's data for marketing, advertising and social media.

Automated decision-making

Recruitment processes are not based solely on automated decision-making.
